Our Client is a global industrial technology leader in a field of modern connectivity solution. To support Team Manager who is responsible for centralized processing of select finance function for the company, we are currently looking for candidates to fill a Personal Assistant position.

Requirements

  • Previous experience in an administrative capacity in a large corporation, ideally in a global environment with a complex matrix structure; Executive Assistant’s experience preferred
  • Proven track record of working independently, prioritizing tasks, handling multiple assignments accurately
  • Above average written and verbal communication skills required; fluency in English
  • Strong skills in Microsoft Office suite – Outlook, Word, Excel and PowerPoint
  • Strong interpersonal skills with ability to interact well with all levels of clients, customers and internal staff
  • Detail oriented with exemplary organization skills
  • High level of confidence, integrity and motivation
  • Must be able to multi-task and work well under pressure
  • Ability to work in a fast-paced environment while adapting to changing deadlines and priorities


Responsibilities

  • Manage complex calendar for several executives
  • Continuous review and prioritization of executive’s email and other correspondence
  • Maintain presence and connection with executives’ direct reports and respective team
  • Arrange and coordinate complex international and domestic travel arrangements including visa applications
  • Coordinate and arrange meetings and schedules
  • Schedule conference calls, Telepresence meetings, on-site and off-site meetings, and webcasts
  • Plan, organize and coordinate logistics (travel, hotel, catering,) for off-site meetings, conferences, events
  • Answer and screen telephone calls
  • Maintain electronic records and SharePoint / Teams sites
  • Manage sensitive and proprietary information with discretion and confidentiality
  • Submit and review Expense Reports
  • Support and track approvals for travel requests, purchase requisitions, CERs
  • Create PowerPoint presentations
  • Maintain organizational charts for the global teams
  • Type, edit and proofread documents and correspondence
  • Support on-boarding of new employees
  • Organize office and files
