Requirements:

  • University diploma or equivalent
  • Experience on a similar job position
  • Excellent command of all Windows applications
  • Very good command of English both written and spoken
  • German language will be an asset
  • Diligent, independent and systematic approach to work

Responsibilities:

The Assistant to the Managing Director supports the General Manager in all areas to effectively and efficiently manage and develop the performance and organisation.

  • Meeting/Activity Organisation
  • Planning, Task-Scheduling, preparation and after work of meetings/events
  • Activity tracking: follow up and status monitoring
  • Preparing notes, meetings’ minutes and agendas
  • Maintaining relations with customers by assistance in accommodation arrangements, hospitality and organizing site tours
  • Document Management
  • forwarding, receiving, translating, adapting, filing
  • Management Communication
  • Finishes off correspondence (sends/receives mail/fax etc.)
  • Assists in preparing presentations and speeches
  • Travel Arrangements
  • Prepare duty travel schedules, flights, hotels, transport etc.
  • Other general management support
